Himalayan Windows Pvt. Ltd. is a registered travel company (Regd. No. 150648) under the rules and regulations of the Government of Nepal. We accept bookings under the following terms and conditions and protect customer data according to our privacy policy.

Booking, payment, and acceptance

  • A booking is accepted when we receive an advance deposit of 30% of the total tour cost. Tours generally commence once this deposit is received.
  • If a tour cannot proceed for reasons beyond our control, the deposit is fully refunded.
  • We send formal confirmation after receiving payment or deposit.
  • A contract is made between the client and Himalayan Windows upon booking confirmation communicated to you or your travel agent.
  • It is the client's responsibility to verify booking accuracy and travel dates.
  • We accept major credit cards and bank wire transfer. Payment is not deemed made until received by Himalayan Windows. Card charges are drawn in US dollars (US$). Financial charges related to payment are borne by the client.

Cancellation

Cancellation must be confirmed in writing by email. Charges are calculated from the day written notice is received. Once a tour has started, no refund is made for unused sectors. Tours may be postponed but are non-transferable. One date change is allowed free of charge with at least 7 days' notice; subsequent changes incur a US$50 administration fee.

Cancellation policy does not apply to flights, permits, or visas, those follow their own supplier terms. Permit and visa fees are usually non-refundable once issued.

Proof of identity

Photo ID is required for all travel. Passports are generally required internationally with at least six months' validity from the travel date. Additional requirements may include visas and inoculations. Special documents may be required for children, please check with your airline and embassy before departure.

Travel health

  • Clients should understand international travel risks and health requirements for destinations visited.
  • Travellers to Nepal, Tibet, and Bhutan may need a doctor's certificate confirming fitness to travel and normal blood pressure and heart condition due to high altitude.
  • Consult your physician or the CDC travel health site (cdc.gov/travel) for current guidance.

Baggage

International flights typically allow two checked bags per person (combined linear dimensions up to 107"). Domestic Nepal flights generally allow one bag up to 20 kg in economy. We recommend one suitcase and one carry-on per passenger. Excess baggage may incur surcharges. Baggage insurance is recommended; we accept no responsibility for loss or damage to belongings.

Insurance

Tour cost does not include insurance. We strongly recommend comprehensive cover for cancellation, medical expenses, personal accident, luggage, money, and public liability before travelling. We may refuse participation without appropriate insurance and accept no liability for personal injury, death, or loss of belongings.

Complaints and claims

If you are dissatisfied with any service, notify your local guide or travel consultant promptly. Claims must be submitted by email, post, or fax within 15 calendar days of tour completion, with relevant receipts and evidence attached.

Unforeseen conditions

Himalayan Windows is not responsible for delays caused by flights, strikes, political unrest, government regulations, weather, natural disasters, or events beyond our control. We will offer suitable alternatives by mutual agreement, or refund after deducting expenses already incurred where no agreement can be reached.

Package tours are operated by Himalayan Windows, Kathmandu, through our official website himalayanwindows.com.
